Can VoIP phone systems integrate with SystmOne?

11 January 2022

So you've read the title of this blog post, "can VoIP phone systems integrate with SystmOne?". And you've clicked through to read more. We can only assume you're a GP or practice manager, and you're busier than a football stadium full of market traders.

Better give you a quick answer then.
Yes. Our phone systems integrate seamlessly with SystmOne.

But, if you've got five minutes, we'd love for you to read on. There's a lot to discuss and we think you'll find much of it very helpful indeed.

Can VoIP phone systems integrate with SystmOne?

See, here at Yoozoom, we've thought long and hard about the challenges GPs face. We've seen how practices often struggle with inadequate phone systems, and how this impacts performance and patient satisfaction.

After much research, deliberation and very strong coffee, we've come up with a package of communications technologies specifically tailored for GP surgeries and their distinct needs.
And with SystmOne being so widely used, ensuring robust integration was at the top of our checklist.

We're not going to bore you with technobabble, though. Let's look at how SystmOne integration works and, more importantly, how it can help you provide a better, more efficient service on a day-to-day basis.

Benefit one: instant access to electronic health records (EHRs)

Our
VoIP telephony technology is a multi-device solution. It works across handsets, PCs and smartphones.

This means GPs' desk phones can interface with their computer, and vice versa. When a call is made or received, our system communicates invisibly with
SystmOne, allowing instant access to patient records. With just one click, practitioners can access the caller's complete medical history, before they've even said "hello".

It's easy to imagine how this can improve efficiency at the best of times. With telephone triage appointments and digital consultations becoming more prevalent (and more necessary), it could be a godsend.

And we don't need to tell you twice: improved efficiency means more smashed targets, which means happier service users, and so on.

Actually, let's make this a "two-benefits-for-the-price-of-one" deal, because the usefulness of this feature extends beyond the confines of the consulting room. Reception staff, too, can see appropriate patient information when enquiries come through, making it easier to route calls to the appropriate department or staff member.

Benefit two: one-click calls and video consultations

While telephone and digital consultations are hardly new, their sudden widespread adoption (thanks, pandemic) means they're, suddenly, the new norm.

We'd be interested to hear about the hurdles you've faced in making the transition. From our perspective, the rollout has been impressive, but we've nonetheless noted challenges for practices and patients alike.

Surgeries have had to quickly integrate video-calling technologies. Staff have had to adapt to new workflows. And on top of all that, many practices are still struggling with ageing communications systems, which just aren't designed to cope with this new tech.

Patients face technical challenges of their own, from not owning compatible devices to lacking the IT know-how to access medical services online.

Good news.
Our phone systems can help on both counts.

With
SystmOne integration, GPs can review a patient's medical records then initiate an audio or video call from within the EHR itself. And thanks to some stellar tech called WebRTC, service users can join calls without the need for any special hardware or software. If they own a laptop, PC or smartphone, it's as simple as clicking a link in their web browser.

Bonus benefit: using
WebRTC, you can add a "click-to-call" button to your practice's website too. This can be useful for patients using pay-as-you-go mobile phones, as it lets them make contact without using up their credit.

Benefit three: compliance with NHS security requirements

To say we understand the importance of data security is an understatement. Honestly,
it keeps us awake at night.

You do too, of course. After all, the NHS has strict guidelines in place to protect the integrity of patient data and the tech that stores it.

Relax. Our telephone technology more than meets NHS security requirements. We wouldn't touch it with a bleached bargepole if it didn't.

Our VoIP tech has top-notch security features built in, right out of the box. This means it never relies on third parties to provide protection – it's in the very fabric of the system itself.

All information is encrypted at every stage. Incoming calls, outgoing calls, video chats, and – crucially – in the behind-the-scenes communications between our system and SystmOne.

If you'd like to review the security policy yourself,
you can do so here.

What about costs?

Ah, yes. The difficult question. We haven't been avoiding it, honest.

Of course, there are initial and ongoing costs associated with upgrading your phone tech and integrating it with your clinical system. However, with the gains in efficiency, along with boons like free unlimited UK calls, we truly believe it's a worthy investment for healthcare providers.

And with the
government offering grants for GP practices to upgrade their communications technology, we reckon there's no better time to make the switch. We'll even help you apply for the grant if you don't have time to do it yourself.

What's more, we have expert engineers on hand to install your system, deliver on-site staff training, and provide 24/7 ongoing support. These aren't bolt-ons – they're included as standard.
